Job Description:

The--Construction Administrator--will play a key role in keeping our projects organized and on track by handling project documentation, managing job costs, coordinating schedules, and ensuring compliance with industry regulations. This position is ideal for a highly organized and detail-oriented professional who thrives in a fast-paced construction environment and takes ownership of their responsibilities.

Responsibilities:
--- Project Documentation & Compliance: Maintain and organize contracts, permits, RFIs, submittals, and safety records to ensure regulatory compliance.
--- Job Costing & Financial Tracking: Assist in tracking project expenses, purchase orders, labor hours, and material costs to ensure accurate job costing.
--- Scheduling & Coordination: Work closely with project managers to coordinate crew schedules, order materials, and communicate with vendors and subcontractors.
--- Billing & Invoicing: Prepare and process invoices, track payments, and ensure proper documentation for project billing.
--- Data Management & Reporting: Keep digital and physical records updated, generate reports, and support management with key project insights.
--- Administrative Support: Provide general administrative assistance, track deadlines, and assist with internal and external communications.

Qualifications:
--- Experience: 2+ years in construction administration, project coordination, or a related field (underground construction experience is a plus).
--- Software Proficiency: Experience with QuickBooks, Google Workspace (Docs, Sheets, Drive), and project management software.
--- Strong Organizational Skills: Ability to multitask, prioritize responsibilities, and maintain detailed records.
--- Excellent Communication: Clear, professional verbal and written communication skills to interact with internal teams and external partners.
--- Problem-Solving & Initiative: A proactive mindset with the ability to identify challenges and implement solutions.
